Beyond the Uniform CIC supports veterans and former police, fire and ambulance personnel. People may contact us about difficult and personal circumstances. We take care with the information they choose to share.
This policy explains what information we collect, why we use it, when we may share it and the choices you have.

What information do we collect?
Depending on how you contact us, we may collect:
Your name, contact details and the information you put in an enquiry.
Details you choose to share about your circumstances, such as housing, employment, family life or the support you need.
Information about your physical or mental health, if you choose to tell us and it is relevant to your request.
Details of a referral, including who referred you and what they told us.
Information from people who enquire about volunteering, working with us or supporting our work.
Basic information about visits to our website, such as technical and cookie information.
Please share only what is needed for your enquiry. If you are contacting us about someone else, avoid sending detailed personal or medical information without their knowledge unless there is an urgent safety concern.
How do we use your information?
We use personal information to respond to enquiries, understand what support someone is seeking, provide practical help where we can, and keep a record of the steps we have taken. We may also use it to manage volunteers and partnerships, keep our website secure, and meet our legal and accounting duties.
Our usual legal basis for responding to enquiries and arranging practical support is our legitimate interests in carrying out the CIC’s work. Where the law requires us to keep information, such as financial records, we rely on a legal obligation.
Health information needs additional protection. Where we need to record or share it to help arrange support, we will normally ask for your explicit consent and explain what we propose to do. You can withdraw that consent by contacting us. This may affect what help or referral we can arrange, but it will not affect anything already done lawfully.
In an urgent situation involving a serious risk of harm, we may use or share the information necessary to seek help or protect someone, where the law allows. We will consider each situation carefully.
Referrals to My Health Route and other services
Beyond the Uniform CIC works with My Health Route, but they are separate organisations. Having a director in common does not mean personal information is automatically shared between them.
If we think My Health Route or another service may be able to help, we will normally discuss the referral with you first. We will explain who would receive your information, what we propose to share and why. If you agree, we will share only what is reasonably needed for that referral. The organisation receiving it will be responsible for how it handles the information for its own services and should provide you with its own privacy information.
We may receive a referral from another organisation or individual. Where that happens, we will tell you what information we have received and where it came from when we first make contact, unless there is a lawful reason not to.
Who else may receive your information?
People working for the CIC will have access only where they need it for their role. Organisations that provide our website, email and other secure systems may process information on our behalf. We may also share relevant information with professional advisers, regulators or authorities where required by law.
We do not sell personal information. We will not add someone seeking support to fundraising emails because they contacted us for help.
Donations and updates
Online donations are not yet available through this website. We will update this policy before introducing an online payment service to explain what donor and payment information is collected and who processes it.
If we introduce email updates or fundraising messages, we will explain how to sign up and how to stop receiving them. Contacting us for support will not sign you up.
Cookies and website information
Our website may use cookies or similar technology needed for it to work and remain secure. If we use optional analytics or other non-essential technologies, we will explain them in our cookie settings and ask for permission where required. You can change your choice through those settings.
How long do we keep information?
We keep information only for as long as it is needed for the reason it was collected, including any legal, safeguarding or accounting requirement. We review support records when a matter closes and limit who can access them.
Keeping information safe and using services outside the UK
We limit access to personal information and use appropriate security measures for the systems that hold it. Some website or email providers may process information outside the UK. Where this happens, we will check that an appropriate legal protection is in place.
Your rights
You can ask us for a copy of the personal information we hold about you. You can also ask us to correct inaccurate information or, in some circumstances, delete it, restrict its use or provide it in a portable form. Where we rely on consent, you can withdraw it.
You have the right to object when we use your information on the basis of legitimate interests. We will consider your request and explain our response.
